Scenario 1: Bishop Glegg wants to schedule the JSB on Sunday from 4:30 p.m. – 5:30 p.m.
The JSB closes at 6:00 p.m., so no adjustments to building hours need to be made and the custodians will already be in the building so no staffing adjustments need to be planned for. You can proceed to schedule this event around the building's Sunday block meetings. Use the Sunday Schedule spreadsheet, which will be emailed to you, to find available rooms and available times when those rooms aren't being used for block meetings. If you have questions about building hours, contact us. Use whatever method for managing the schedule that suits you, as long as the next person to fulfill this assignment can be given the schedule and can follow it easily.
Send the person scheduling the event the following information:
Inform the Building Operations Supervisor of the scheduled event via email. He or she supervises the custodial staff in the building on Sundays.

Scenario 2: Bishop Clegg emails you on Monday. He wants to schedule the JSB on Sunday from 7:00 p.m. – 9:00 p.m. for a fireside. That's good notice.
The JSB needs extended hours for this activity, so you'll need to do the following:
Send an email to the Building Operations Supervisor AND email Space Management with the information below. It's handy if you copy the table into the email and fill in the information in the second column. Following your email, the Church Specialist (with Space Management) will have Keys, Locks & Access Control extend the hours that the building's entrances remain unlocked.

Scenario 3: This time, Bishop Cleg emailed you on Wednesday that he wants to schedule the JSB on Sunday from 7:00 pm – 9:00 pm for a fireside. This is short notice so it might be difficult for the Building Operations supervisor to get a staff member to stay later. Building Operations supervisors often work early mornings to early afternoons, so your request might not reach them until the next morning.
Let the bishop know this, but that you’ll try to get that scheduled for him and will get back with him shortly to confirm.
Do the steps in Scenario 2, but this time also call the Building Operations supervisor in case they don’t read their email right away. To find the supervisor’s phone number:
Go to the Building Operations Directory – Enter your building into the Search bar – The “Area # Supervisor” under the “Title” column is your point of contact. For the JSB Scenario above, Russ Carter is the JSB Building Care contact.
